Chair Positions are organizational positions that work directly with the BPO, band director, and/or band students to assist with a specific task or event during the school year. There are many opportunities to get involved both in leadership and on a project team. Chair positions can be shared between two volunteers and are selected by the BPO. Each chair serves for the duration of the school year, or until the event concludes.
Your support is important in creating a successful Band Program. Without the time and efforts of our families to support our students, we cannot manage all that needs to be done. In this case, many hands DO make lighter work.

2022 – 2023 Event Teams
Apparel & Uniforms
- General Apparel:
- Coordinate and order general band shirt, staff shirts, and special events tees as needed.
- Coordinate SWAG orders and distribution.
- Set up apparel sales table during fundraisers and events.
- Uniforms (June – Dec):
- Organize volunteers to fit students, build uniform bags, and manage alterations & repairs.
- Manage uniform closet: inventory & organization.
- Work with BPO and Band Director to order additional uniforms as needed.
- Oversee check-out and return of uniforms.
- Manage uniforms while traveling to dress the band.
Dine & Donate Coordinator (Monthly)
- Solicit restaurants to schedule a monthly meal night for band families and friends.
- Act as representative for the band while communicating with businesses.
- Schedule, communicate dates, coordinate fliers.
- Communicate funds received. Work with Treasurer to keep financial records of each event.
Craft Fair (Feb – Dec)
- Work with the VP of Fundraising to organize the annual Craft Fair that is held the first Saturday each December.
- Adjust vendor entry forms, book vendors, collect and submit entry fees, coordinate advertising/signage.
- Facilitate day of: student & parent volunteers, manage vendor check-ins, coordinate booths, snack bar, raffle table and oversee clean-up.
- Work with Treasurer to keep financial records as needed.
Damonte Marching Invitational (DMI) (Aug – Oct)
- Work with the VP of Fundraising to plan and coordinate the annual DMI event.
- Organize a volunteer committee and hold periodic meetings leading up to the event.
- Organize all aspects of the event, as needed:
- Announcer & announcer scripts.
- Coordination of event volunteers, signage, facilities for visiting bands, day-of events (bake sale, 50/50 raffle, shout-outs, etc.)
- Event program, including schedule of events.
- Working with Food chair on concessions planning.
- Facilitate day of: student & parent volunteers, manage gates, oversee clean-up.
- Communicate funds received, work with Treasurer to keep financial records.
Food
- Plan meals for Band Camp, 8-hr rehearsals and travel events.
- Coordinate snack bar & concessions volunteers.
- Assist event chairs to coordinate concessions for special events (DMI, Craft Fair, Bingo, etc.).
- Coordinate menus, create Signup Genius for food donation and volunteer needs.
- Work with BPO to facilitate purchase of supplies, as needed.
- Facilitate day of: student/parent volunteers, food prep, serving, clean up.
Photographer
- Attend most events to take photos.
- Collect & coordinate photos submitted by families and professional photos from events.
- Make all photos available to band families, DRHSband.org, and Media Chair.
- Work with students to create the photo slides for the end of year Showcase.
Props/Equipment (July – Nov) & (Jan – March)
- Plan, design, and build performance props for marching band, Winter Guard and Winter Drumline events.
- Work with the BPO and Band Director to acquire materials and order supplies, as needed.
- Coordinate the Band Yard & parent volunteers.
- Organize and assist parent volunteers during marching band for a field “pit crew”.
- Coordinate transportation of props and instrument trailers to and from competitions.
- Repair props and pit instruments (when possible) as necessary.
Social Media Coordinator – Student-led
- Manage photo, video, and text posts of PAC Band public events for Facebook, YouTube, Twitter & Instagram for sharing/awareness and to boost community participation.
- Coordinate and send information to post on DRHSband.org to the webmaster.
Webmaster
- Work with the BPO and Band Director to update and maintain the drhsband.org website.
- Work with the Student-led Social Media Coordinator to update photos and promote events.
Bingo Coordinator
- Work with the VP of Fundraising to organize periodic community bingo events.
- Secure necessary venue and supplies to hold events.
- Collect prize and food donations for the events.
Videographer (Sept – Nov)
- Video Marching Band events and competitions, indoor concerts.
- Video drumline and guard performances.
- Work with students to produce an end of year Showcase video.
Band Awards Night (May) – (with input from Senior parents)
- Plan and organize end of year celebration for band.
- Work with parents of outgoing seniors to make Awards Night a special event.
- Coordinate volunteers, invitations, food, donations, decorations and reservations, photos.
- Facilitate day-of events.
- Help with senior student recognition certificates and honoring traditions.
